A written composite veneer quote: build an inclusions record
An itemised estimate is more useful than a collection of screenshots with different prices. The aim of an inclusions record is not to rank clinics or certify a contract. It is to preserve what a provider has actually told you, make gaps easy to spot and stop the same item being counted twice. This is general budgeting information, not legal advice or an assessment of a proposed dental treatment.
Create three distinct states
For each possible charge, distinguish included, separately charged and unconfirmed. A missing item in a short advertisement belongs in the last group until the provider explains it. On our homepage checklist, a tick means confirmed in writing; an unticked box does not mean excluded. That deliberately simple rule prevents silence being mistaken for either a free service or an extra bill.
Keep the original estimate and date with your notes. If you record an explanation given by phone, ask for written confirmation rather than treating your own note as a change to the provider’s terms. Identify which version of the estimate you are using when asking a follow-up question.
Match each fee to its scope
Start with the exact tooth count, arch and material description. Then ask about assessment, scans, design, laboratory work and separately charged appointments. Do not assume every possible category applies to your proposal. The purpose is to ask which items are relevant and what they cost, not to add a standard bundle of dental procedures to every quote.
A visit may already be part of the tooth fee. If so, leave it out of the separately charged visit calculation. Where different appointments have different prices, use their combined amount as an explicitly identified extra rather than pretending every visit shares one rate.
- What work and which teeth does the core fee cover?
- Which relevant items are already included?
- Which additional charges need separate written amounts?
Reconcile deposits and tax
Pro Dental Clinic publishes a £50 non-refundable consultation deposit redeemable against treatment. That example shows why a payment date and a total cost are different things: a credited payment must not be added twice. It does not establish the terms at another clinic or mean a deposit will be returned if you do not proceed. Ask the provider to explain the actual conditions.
The Pro Dental and Perfect Smile price passages cited here do not explicitly state the VAT basis. Do not infer tax treatment from the word dental or add a percentage without confirmation. Request a final payable amount, the stated tax basis and an explanation of any items priced differently. Our worksheet records tax wording but calculates no tax.
Close the paperwork loop
Ask how long the estimate is valid and what could change it. Record deposit due dates, cancellation and rescheduling rules, refund conditions and the contact for billing questions. If the scope changes after further discussion, request an updated total before using the old figure as a commitment. A lower initial headline is not enough information to establish the eventual bill.
Finish with aftercare charging questions: whether any review is included, what guarantee conditions apply and how repair or replacement enquiries are priced. There is no need to predict when those events might occur. Download the TXT checklist as a prompt, not as a replacement for the clinic’s documents. It contains only your worksheet figures and confirmation states, not your enquiry contact details or any health record.
